First Impressions Don’t End at the Discovery Call

It’s easy to think that once someone signs the contract, the “impressing the client” part is done.

But for therapist clients, that’s often where their nerves kick in the most.

They’re about to hand over parts of their practice. You’re getting access to confidential information, the systems they use and to contact with their clients.

That’s a big deal.

So if the process that follows feels a bit unclear, a bit reactive, or slightly pieced together, it can leave them feeling unsettled… even if they really like you.

Not because you’ve done anything wrong.

Just because they’re still trying to find their footing in this new working relationship.

Onboarding Is Where Trust Is Built


Onboarding isn’t just about getting access to things or scheduling a call.

It’s where your client decides: “I can relax now, they’ve got this.”

And that feeling doesn’t come from doing more.

It comes from doing things intentionally.

From having a clear way of guiding someone through those early stages so they’re not left wondering what’s happening, or what’s expected of them.

When You’re Not Leading, the Client Has To

Something I notice a lot is VAs taking a very “wait and see” approach at the start.

Waiting for the client to tell them what they need.
Waiting to be given tasks.
Waiting to understand how things work.

And while that can feel respectful, it often puts the client back in the position they were trying to move away from. They’re still managing everything and making all the decisions. Still holding the responsibility.

When actually, it’s your responsibility to step in and gently take the lead.

Not in an overwhelming way.

But in a way that says, “You don’t have to figure this out on your own anymore.” You’re not just an employee, you’re part of a team and I’m an expert at this!

A Good Process Feels Calm (For Both of You)


When your onboarding process is clear, you feel it just as much as your client does.

You’re not second-guessing what to send next.
You’re not scrambling to remember what you forgot.
You’re not piecing things together as you go.

There’s a rhythm to it.

One step leads naturally to the next.

And that calm, steady approach is what helps your client settle in more quickly too.


Most VAs Haven’t Been Shown How to Do This
